Views in ClickUp aren’t one. While these are simply different layouts you can switch between in the software, each has its benefits and purpose.
In this article, we’ll take you through what the different views are and what they have to offer.
How to Change Views in ClickUp
Before we begin, we’ll start with how to add views and switch between them in ClickUp. There are two ways to do so.
The first is to apply the alternate layouts in bulk within your workspace’s default setting for views. ClickUp gives you this option when creating a new Space. However, you can also get there by clicking the three dots beside your workspace and selecting All Space settings.
When you add views through the workspace settings, they will be available on every List within that Space.
However, if you only want the view to appear in a single list, select the add view option beside its title at the top of your screen. This will open a menu where you’ll find several layouts to choose from.
Once you add a view to your List, it stays at the top, where you can simply click the view names to switch back and forth between the layouts. If you decide you don’t need it later, you can simply delete it, or if you love it, you can pin it to make it appear first.
List View in ClickUp
List view is the default layout in ClickUp and also the most versatile. Upon creating a new List, the software automatically groups the tasks in your list by status, allowing you to drag and drop from one to the next.
However, you don’t need to organize your assignments by status if you prefer to work another way. You can also group them by the due date, assignee, priority, tags, or a custom field if you’re using one.
Additionally, if you only want to see tasks of a specific type, you can easily do so using the filter tool. All you need to do is select the filter icon at the top of your list and set which detail you’d like to see. For example, status is stuck or priority is high.
You can also break up larger tasks by adding subtasks, which you can show or hide using the subtask icon.
Board View in ClickUp
Board view is one of the simplest Views in ClickUp and the most visual. This view uses a Kanban-style card system that allows you to drag and drop your tasks from one group to the next.
Like list view, the default group system is by status as the default option—which actually works the best for this layout—but you can change it to group items any way you’d like within the fields you’re using.
You can also create, manage, and view subtasks in board view just as you can with list view.
Calendar View in ClickUp
Calendar view is perfect for those that want to see their due dates in a traditional calendar. In this layout, you can see the task name highlighted in the matching color to its status.
You can click into a title to open its task card and make changes, or simply drag and drop to a different date. Additionally, you can add new tasks from this view.
While it’s not the most versatile layout, you can adjust the settings in many ways to customize your calendar the way you like it. You can also integrate your Google Calendar for a two-way sync between the calendars, or your Apple or Outlook calendar to see your ClickUp due dates among your appointments.
Other Views in ClickUp
Timeline View
Using a linear calendar, this layout enables you to view and adjust your timeline for projects, which makes it an excellent planning tool. By default this view doesn’t group tasks, however, some helpful ways to organize your tasks here are by status, due date, or assignee.
Gantt View
Gantt view is similar to the timeline view in that you can look at and adjust your tasks on a linear calendar. As you mark items complete, you fill the progress bar at the top of the page.
This is one of the more complex views in ClickUp, but it helps you and your team visualize your progress and dependencies. If you currently use Gantt charts, and you want to explore other options, here’s a list of Gantt chart alternatives you may find helpful.
Table View
If you’re a fan of spreadsheets, table view may just be your thing. This layout gives you a compact look at all your tasks, which you can quickly and easily edit in bulk.
Since it doesn’t put space between your groups like list and board view, it also requires less scrolling. It’s by far the view with the least amount of bells and whistles, but sometimes having no frills is a good thing.
Mind Map
You can view your current tasks as a mind map to help visualize the order in which you’ll tackle them, or you can use a blank mind map to plan them out and quickly turn them into tasks when you’re ready.
You can also share this with others outside ClickUp to ensure you and your colleagues are on the same page.
Activity View
If you’re overseeing a project and want to see everything that goes on within its list, you’ll want to check out Activity view. This layout shows you every update, with the most recent at the top.
You can also control which updates it shares by switching the activity types on and off in the settings, so you’re getting the most relevant information.
Get the Best View With ClickUp
Choosing the best views for your ClickUp list comes down to project type and personal preference. While some may love the visual card system that the Board view offers, others may prefer the no frills, condensed look of a Table view.
Why not try out a few to see which one you like most?
